Nobody plans a bad vacation on purpose. And yet so many good trips get quietly ruined by one thing nobody thinks to plan for: Pace. Why Pacing Is Invisible Until It Isn't Pacing is one of those things that's invisible when it's done right and impossible to ignore when it's not. A trip that looks incredible on paper such as every day booked and every attraction covered can leave people more exhausted than when they left home. And a trip that looks "too relaxed" on paper can end up being exactly the reset someone needed. The itinerary that photographs the best isn't always the one that feels the best and pacing is usually the difference. Pacing Questions Worth Asking Before You Build an Itinerary Are we trying to see everything, or trying to feel something? How much travel time is realistically between each part of this trip? Does everyone in our group have the same stamina for a "go-go-go" day? Where are the built-in pauses or the mornings with nothing scheduled? If one day runs long, does the next day have any give in it, or does everything fall like dominoes? Building In Pauses on Purpose This is the anticipation part of how I plan every trip - thinking through the rhythm of a trip, not just the checklist of it. Presence and peace of mind don't happen by accident. They get built into the plan, on purpose, the same way the "must-do" list does. The best compliment I ever get isn't "we did so much." It's "we actually felt like we were on vacation." That's a pacing win, every time. Quick Questions What if some of our group wants to go-go-go and others want to relax? This is one of the most common pacing challenges I help solve, usually the fix is a flexible itinerary with built-in "opt-out" blocks rather than one pace for everyone. Is a slower-paced trip actually cheaper too? Often, yes as fewer paid add-ons and less rushing usually means fewer impulse decisions along the way.
I get it, booking something, anything , can feel like progress. But I've watched too many people book a flight or a resort out of momentum, only to realize three weeks later it doesn't actually fit their trip. Before you hit "confirm" on anything, run through these five questions first. 1. What's the Real Goal of This Trip? Rest? Celebration? Bonding? Adventure? Every other decision should serve this answer and if a deal or destination doesn't serve it, it's not actually a deal, no matter how good the price looks. Naming the goal out loud in one sentence before you start browsing is the single highest-leverage thing you can do. A trip built for toddlers looks different from one built for teens, which looks different from one built for a multigenerational group with very different energy levels and mobility needs. Be honest about who's actually coming on the trip not who you wish was coming, and not last year's version of your family. 3. What's Our Real Pace? Back-to-back activities or slow mornings with room to breathe? This one question prevents more vacation burnout than almost anything else. What's Our Actual Budget, Not Our Hopeful One? A number you can say out loud without wincing. This isn't about limiting the trip, it's about protecting it from decisions you'll regret later like the too-good-to-be-true add-on that eats your dining budget, or the "just one more night" that quietly blows the whole plan. 5. What Would Make This Trip Go Wrong? Thinking through what could go wrong isn't pessimism, it's how you protect the trip you're excited about. Even just naming the top one or two risks (weather, a health issue, a cancelled flight) means you're not figuring out your plan B in the middle of a crisis. Quick Questions What if I've already booked something without asking these? Totally fixable, most trips can still be adjusted around missed questions if you catch it early enough. Worth a quick gut-check call before you add anything else. Do I need to answer all five before I book anything at all? At minimum, answer #1 and #4 first as the goal and budget are the two that protect you from the most regrets. The rest can be refined as you go.
Every year I talk to people who are dead-set on a destination for reasons that have nothing to do with what they actually want. "Everyone goes to Disney." "A cruise seems easy." "Isn't the beach just the default vacation?" And look, all of those can be true, wonderful trips. But the best trips I plan aren't picked because they're popular. They're picked because they match how that specific person, group, or family actually likes to move through the world. Why "Popular" Isn't the Same as "Right" The reason so many trips underdeliver isn't bad execution, it's a mismatched destination from the start. A high-energy family dropped into a slow beach resort gets bored by day two. A family that craves quiet gets flattened by a park-commando itinerary. So instead of asking "where should we go," try asking "how do we like to travel?" Here's what I mean, broken down by type: The Disney Person If you love a plan, a schedule, and a little bit of magic in your everyday moments , you're probably a Disney person. You like knowing what's next. You like the little details, the theming, the feeling that someone thought of everything before you even walked in. You don't mind some early mornings if it means a better ride line or a better photo. Structure feels like comfort to you, not stress. The Universal Person If you want big, immersive energy and don't mind a slightly faster pace , Universal might be calling. It tends to suit people who like their vacations a little louder, a little more thrill-forward, with big "wow" moments built in. If your idea of a great vacation day includes an adrenaline spike, this is often the better fit over Disney's gentler pace. The Cruise Person If the idea of unpacking once and having a new view every morning sounds like heaven a cruise could be your vibe. Cruises are wonderful for people who want variety without the logistics of booking six things separately, and for people who like having some built-in structure with room to opt out of anything. The Beach / Resort Person If your definition of a good vacation is "as few decisions as possible," beach and resort trips tend to be the answer. Sun, slower mornings, nowhere you have to be. This is often the right call for people whose day-to-day life is already packed with decisions and logistics, the last thing they want on vacation is more of that. When You're a Blend Here's the thing, most people are actually a blend of two of these, which is exactly why guessing your way into a destination so often backfires. This is also exactly why so many families end up doing a "two-part" trip, a few days of one style, then a few days of another once they realize they don't have to pick just one. Quick Questions What if different people in my group have different vibes? Very normal, especially with kids of different ages or multigenerational groups. This is usually solvable with the right destination and itinerary pacing, it's one of the first things I dig into with clients. Can we combine two of these into one trip? Often, yes - a Disney-plus-beach trip or a cruise-plus-resort stay are both common and can work beautifully with the right timing. Figuring out your travel vibe isn't about boxing yourself in, it's about stopping the second-guessing before you've spent any money. If you've ever opened fifteen browser tabs trying to plan a vacation and closed your laptop more confused than when you started, you're not alone. I see it all the time: smart, capable people who can run a household, a career, a whole family logistics operation and still feel completely lost the second "let's plan a trip" enters the group chat. Start with the Feeling, Not the Destination Before you touch a single travel site, ask your people: What do we want to feel when this trip is over? Rested? Adventurous? Closer? Like we actually got a break from our own kitchen? Write the answers down in your notes app or on a sticky note on the fridge. This becomes your filter for every decision after this: Every resort, every day, every "should we add this" question gets run through it. If an idea doesn't serve the feeling you're going for, it's not actually a good idea for this trip, even if it's a great idea in general. Then Get Honest About Pace Some families want every day packed with parks and activities from rope-drop to fireworks. Others want two things planned and four days of doing absolutely nothing but pool time and room service. Neither is wrong, but planning a trip that doesn't match your family's real pace is the #1 way a vacation ends up feeling like it needs its own vacation. A quick gut-check: Think back to your last few days off at home. Did you fill them, or did you protect empty space? However you answered that is a pretty honest preview of how you'll actually want your vacation days to go, no matter what you think you should want. Budget in Ranges, Not Fantasies Give yourself a real price range early, even a rough one, not "as cheap as possible" and not a Pinterest-fantasy number either. Something like "we're comfortable between $X and $Y for the whole trip" is enough to start. Why this matters so much: Most of the heartbreak I see in trip planning happens when someone falls in love with a resort, a room category, or an itinerary before they've set a real number and then either overspends to make it work or has to walk it all back later. A range set on day one protects the whole plan. Quick Questions What if my family wants really different things out of the trip?
